Our client is a well-known European Pharmaceutical company that specializes in diagnostic solutions and has been established for over 50 years with operations spanned across 5 continents and a reputation for being at the forefront innovative healthcare solutions. In Thailand, they operate an office, serving as a regional hub of operations for Indochina. Due to the significant growth, our client is looking for an Office / Personal Assistant to take on the crucial role within their global organization.
The Office / Personal Assistant will mainly be assisting the General Manager (ASEAN North), as well as responsible for some general administrative and Human Resources tasks to their office and employees. The overall duties and responsibilities of this sought-after position are outlined as follows:
- Managing the General Manager (ASEAN North)’s calendar and travel management, including but not limited to Visa applications, processing of expense reports, and maintaining organized record keeping with strict confidentiality
- Coordinating and facilitating internal team meetings, offsite meetings/events, including but not limited to tracking of actions and outcomes where appropriate
- Providing general office administrative support with the equipment orders, IT support, initiating purchase requests and purchase order, event planning and coordinating, and follow-up of outstanding invoices and maintaining general filing requirements
- Supporting and facilitating visitors with hotel bookings and facilitating oversea travels for Thai team
- Managing ISO Purchase process and procedure
- Responsible for all onboarding and offboarding tasks for new employees/contractors at the Thailand office
- Responsible for the payroll (including Provident & Social Security Fund) in collaboration with local finance team and payroll vendor, Health Insurance and HR info system administration
- Coordinating and processing on expat work permit with external legal consultant
- Facilitating smooth takeover from employees leaving the company as part of the separation process
- Acting as company HSE liaison with ASEAN Health Safety Environment (HSE) Lead for HSE matters and providing HSE Orientation to company’s new hires
- Performing other duties as assigned
Qualifications:
- Qualified to a tertiary education level or higher, in any related field
- At least 3+ years of relevant experience, within a Multinational Corporations is a big plus
- Strong organizational skills
- Ability to multitask and work within deadlines
- Ability to work independently with a high level of service orientation while maintaining strict confidentiality, with experience in the management and implementation of multiple projects
- Good command of both spoken and written Englishand Thai, with strong communication skills
- Computer literacy with strong MS Office skills including Power Point, Outlook, Excel, and Word
