Our client is a global NGO specializing in the renewable energy sector consulting for both governmental and private companies. Led by a well-known private foundation, this organization aims to create projects supporting the decommissioning and repurposing of fossil fuel plants, utility-wide adoption of renewable energy, and reliable, productive-use power for off-grid and underserved communities. This organization is now seeking a Team Coordinator and Executive Assistant to assist in a continuing project in the following role.
The Team Assistant will be receiving direct day to day supervision from and be accountable to the Director, working around the following responsibilities:
- Manages the calendars for managers, including identifying key deadlines /milestones in team plans and flag as necessary follow-up.
- Provides senior level administrative support including tracking grant and contract deliverables drafting letters and documents, taking meeting minutes, and collecting and summarizing information.
- Coordinates both domestic and international travel arrangements ensuring tight schedules and well-articulated itineraries. Creates and modifies travel itineraries quickly and accurately. Informs and plans actions based on the itinerary with appropriate parties.
- Ensures that the managers and team’s office have the required technological tools or equipment to successfully perform their work.
- Organizes meetings/events including meeting logistics, agenda and materials preparation,
- Prepares and processes expense reports, vendor invoicing paperwork, and purchase requisitions, including monthly expense reconciliation and on-demand expense reports.
- Serves as an active ambassador of the team inside and outside of the organization, contributing to creating a positive values-driven culture that engages managers and staff across the organization and ensures that the organization’s people are aligned with the vision, direction and strategy.
Qualifications:
- Must be comfortable with heavy scheduling and calendar management including coordination of complex meetings with multiple participants and locations with a high level of efficiency and accuracy.
- 3 – 4 years of administrative or high-level supportive experience is required (background in NGOs is a plus)
- Fluency in Thai and English, and able to translate business conversations and written documents.
- Time Flexibility: this role will be coordinating with multiple countries with different time zones.
